HealthMark was founded twenty years ago with a clear mission: there had to be a better way to release medical records – and we set out to build it.

In 2006, the vast majority of patient health information was documented on paper. Records were scanned and faxed, hauled from facility to facility and managed through manual processes.

As HealthMark celebrates 20 years on record, we’re taking a moment to reflect on the journey that has brought us here.

The Early Challenges of Releasing Medical Records

When HealthMark was founded, there was a clear gap in release of information:

  • Medical records were difficult to access and slow to deliver.
  • HIM leaders were juggling compliance requirements, manual workflows and growing demand.
  • Nobody had the modern tools or support available today to manage it all efficiently.

In the early days, HealthMark met providers (and records) where they were – inside doctor’s offices, clinics and hospitals. Team members carried scanners (and sometimes full-sized copiers!) from site to site, and loose paper charts ruled the day.

We recently held a town hall where a few of our longest-tenured employees shared some anecdotes about the early days of releasing medical records.

Below, Devin Hardin, vice president of release of information (who has been with us for 16 years!), goes into detail about what it was like on the ground floor of HealthMark’s earliest days, delivering medical records from site to site:

Jordan Richardson is HealthMark’s director of operations and implementation and has celebrated 17 years with us so far – and he even still has his very first work phone:

Kristen Dorrough, vice president of client experience, officially joined HealthMark in 2022, and her years of experience as co-founder and CEO of Acton Corporation makes her HealthMark’s longest-tenured employee! Below, Kristen shares an anecdote even before the days of travelling with scanners – when full-sized copiers were all we had to rely on:

Those early days of releasing medical records gave HealthMark a clear view into how records move throughout the healthcare ecosystem, and where processes tend to break down. We saw where delays happen and how easily records could get lost in the shuffle.

What Did Releasing Medical Records Look Like Before EHRs?

Back when EHRs were the exception rather than the rule, releasing medical records meant working directly with stacks of paper charts piled high on desks, stored in filing cabinets or scattered across different offices. There was no centralized digital system to quickly locate or track records. Instead, fulfillment teams relied on:

  • Manual workflows
  • Handwritten logs
  • Constant coordination with onsite staff
  • Physical materials

At the time, the industry was in transition period, and electronic health records were not the set standard. The most difficult part? Navigating both physical and digital processes simultaneously.

HealthMark’s earliest days truly highlight just how far release of information has come. What was once a highly manual, location-bound process evolved into a streamlined, technology-driven experience. Now, less than 1% of records are in paper charts.

We’ve Come So Far – Why Does Innovation Still Matter?

Medical record release often operates in the shadows, always important but not often thought of until records need to be rushed or auditors come knocking. Despite it being a mostly invisible process to most in the healthcare space, the impacts of release of information – when it’s done well, and when it’s not – are very visible.

Every day, HealthMark helps ensure that:

  • Providers have the information they need to make informed care decisions
  • Patients can access their own health information when they need it
  • Records move securely, accurately and in compliance with regulations

While we’ve come a long way in our mission, the work is far from finished.

Looking Ahead: The Next Chapter of Healthcare Data

Healthcare’s future will be defined by data: who can access it, how securely it moves and how quickly it reaches the people who need it most.

That shift is already underway, but the reality is that healthcare data still isn’t as connected (or as easy to access) as it needs to be. Records live in different systems, and processes vary from one organization to another. Even with today’s technology, too much effort is still required to move information from point A to point B. That’s where the focus going forward becomes clear.

In playing our part to reshape how healthcare data is accessed and shared, HealthMark is focused on making meaningful improvements where they matter most:

  • Improving interoperability
  • Reducing friction in workflows
  • Supporting providers navigating increasing complexity
  • Making access to health information more reliable and secure

In the end, this isn’t just about releasing medical records more efficiently. It’s about making sure the right information is available at the right time, when it matters most.

20 Years in the Books – And We’re Just Getting Started

HealthMark has come a long way in 20 years, and release of information has changed so much right along with us. What once relied on paper charts, manual processes and even carting printers and faxes directly to doctor’s offices has become a far more connected, technology-driven experience. But the goal behind it all has stayed the same: getting the right information to the right people, right when they need it.

Even with all that progress, there’s still work to do. Expectations for faster access, reliable security and more seamless data exchange continue to rise – and the gaps between systems and processes are still very real. That’s what keeps us focused on what comes next.

At HealthMark, we’re continuing to push for practical improvements that make a difference for providers, patients and requestors today and into the future.
